What's New

Simplebks V5 is a large release. This page lists what it added, with the plan each feature comes with. New releases are added at the top.

Free, Basic, Professional and Enterprise are the four plans. A feature marked Professional and up is also in Enterprise. See Plans and Pricing.

By Simplebks Growth Team.

V5: Sell

  • Open-price items. Sell an item that has no set price at a price the cashier enters, if they hold the permission. A report lists those sales. Professional and up.
  • Mixed units in one cart. Sell the same product by carton and by piece on one order, and switch the unit on the line. Professional and up.
  • Weighing-scale barcodes. The till and the price checker read weighing-scale labels for products sold by weight (kg, g or tonne) and price the item from your catalogue. Professional and up.
  • Card terminal payments. Record a card-terminal payment as Moniepoint, OPay or Other at checkout. Simplebks records the payment and shows it as unverified until it matches in your bank reconciliation. There is no live link to the terminal provider. Professional and up.
  • Customer screen ads. Show your own ads on the customer-facing screen at the till. Enterprise.
  • Price checker. Staff can scan or search to look up prices, or you can turn any screen into a customer price checker with a kiosk link. Customers never see your cost. Professional and up.
  • Order quantity rules. Set a minimum order quantity and an order multiple on each product. POS sales, invoices, quotes and pre-orders refuse a quantity that breaks the rule unless the person holds the override permission. Professional and up.
  • Returns on unpaid invoices. Return goods against an invoice that is still unpaid. What the customer owes goes down, and any excess becomes store credit. Needs the delete transactions permission. Basic and up.

V5: Restaurants and bars

Table service is on the Enterprise plan. See Restaurants, Bars and Kitchens.

  • Prepaid tabs. Fund a customer's tab in advance and draw it down as they order. Enterprise.
  • Comped bills. Comp a bill to zero with a required reason, with a Comped Bills report. Enterprise.
  • Charge to a customer account. Put a tab on a customer's account. Enterprise.
  • Audit log for the floor. Review voids, comps, transfers, discounts, write-offs, merges, splits, tips and prepaid funding. Enterprise.

V5: Stock and buying

  • Three inventory reports. Stock position, Stock movement and Stock planning, with tabs and filters. Stock position also has a day-by-day view. Stock position comes with Basic and up. Stock movement and Stock planning, and CSV export, need Professional and up.
  • Stock reconciliation. A stock difference no longer stops a sale or purchase from posting. It opens a flag on the Stock Reconciliation screen. A real shortage still blocks the sale. Basic and up.
  • Per-branch product visibility. Choose which branches can sell each product. It applies to sales screens, the till and invoices. Professional and up.
  • Duplicate codes. A Duplicate Codes screen lists SKUs and barcodes used more than once, and adding or changing a barcode that another product in your business already uses is refused. Basic and up.
  • Request for quote. Ask suppliers for quotes, compare them and award to purchase orders. Enterprise. See Purchasing and RFQ.
  • 24-hour offline till. An approved till keeps selling with no connection for up to 24 hours. Enterprise.

V5: Production

  • Scrap and waste on a batch. Record scrap or wasted material, with an optional reason, on a quick production batch. It is posted to a production wastage account and kept out of finished-goods cost. Professional and up.
  • Overhead costing. Set an overhead rate and have it added into batch costs. Month-end true-ups post only after an approver signs off. Professional and up.
  • Lot tracing. Advanced batches record which raw-material lots each batch used, so you can trace a finished lot back to its ingredients. Enterprise.
  • Recipes in bulk. Upload a spreadsheet to create many recipes at once. Professional and up.

V5: Money

  • Monthly management report. From the 2nd of each month, businesses that recorded activity get an email with a PDF and an Excel workbook for the month just ended, kept in Report History. The full report has sections for the parts of Simplebks you use, and a simpler report is sent if your books are not set up yet. All plans.
  • Daily cashbook. See what came into and went out of your cash and bank accounts each day, with the balance carried from one day to the next. Ranges over 31 days show one row per month, and you can click a day to see its transactions and export to CSV. Professional and up.
  • Year-end close. Close your financial year with a preview and a confirmation. Profit rolls into retained earnings. Locking the books through a date is blocked while an unverified card-terminal payment falls on or before it. Professional and up.
  • Multi-currency. Record invoices, sales, purchases and expenses in another currency, entering the exchange rate by hand. Exchange gain or loss posts when you settle. The foreign amount shows on the Sales transactions report and the transactions register. The till stays in your main currency. Enterprise.
  • Budgets. Set budgets for your income and expense accounts and compare them with actuals. Enterprise.
  • US dollar billing. Businesses outside Nigeria pay for plans in US dollars. Nigerian businesses keep paying in naira. All plans.

V5: Working faster

  • Bulk upload and update. Download customers or suppliers, edit them in a spreadsheet and upload the changes. The download needs Professional and up. Create invoices, purchase orders and recipes in bulk from a spreadsheet: purchase orders and recipes need Professional and up.
  • Guided setup. The setup wizard now covers staff, payment methods and branches, and tables for restaurants. Multiple branches are on Professional and up, and tables are on Enterprise.

V5: Herbie, your AI assistant

  • Ask about your business. Ask Herbie about sales, customers, overdue invoices, cash, expenses, stock and production. Herbie answers only from what your plan and your permissions allow. See Herbie AI. All plans.
  • Production questions. On Professional and up, Herbie answers about output, materials used, pre-orders, and cost and variance by period. On Enterprise it also answers about labour, stages, material requests, lot recall and single batches.

V5: Team, access and partners

  • New role permissions. Grant year-end close, overhead reconciliation approval and customer-screen ads to the roles that need them.
  • Marketing email choices. Each user can switch off marketing emails, and you choose who receives the monthly management report.
  • Referral program. Nigerian users earn 10 percent of the ex-VAT payments of the businesses they refer, for 12 months from the referred business's first naira payment. Rewards are held for 30 days. Withdrawals are paid within 24 to 48 working hours. See the Referral Program.
  • Consultants. A consultant connects only when you accept. Consultants get monitoring-only access. See Become a Consultant.
  • Accountants. Clients choose the access rights an accountant has, and can renew or revoke access at any time. See For Accountants.
