Common questions

Do firms pay extra for Simplebks?

No. There is no per-client fee and no separate firm price. Your firm has its own account on the same plans as any other business. Each client keeps and pays for their own plan.

Does the client have to approve my access?

Yes. The client owner gets your invitation by email, signs in with that email, chooses the business to share and approves. Nothing is shared before that. The owner can also decline.

Who decides what I can do in a client's books?

The client owner. On the approval screen the owner ticks the rights you get. A basic set is pre-ticked: financial statements, VAT and WHT reports, the monthly management report, and view access to journals and bank reconciliation. Posting journals, editing the chart of accounts, opening balances, changing reconciliations, sales and stock reports, tax settings and full data export each need a tick. The owner can change the ticks later.

What does the client need on their plan?

One free team seat for each of your staff assigned to them. Professional includes 2 seats, Enterprise 5, and Basic 1, and extra seats can be added on Basic, Professional and Enterprise. Journals, the chart of accounts, opening balances, bank reconciliation, the Balance Sheet, Trial Balance, Cash Flow and VAT and WHT reports need Professional or Enterprise.

How long does access last and who can end it?

Access lasts 90 days from the day the client approves and stops on its own after that. The client can revoke it at any time, and you are signed out of their business straight away.

Can access be renewed?

Yes. The client's owner or admin can renew it for another 90 days from Settings, People, Accountant Access, even after it has ended. Your client list shows how many days each client has left.

Can I post journals and reconcile without asking the client each time?

Only if the client has given you those rights, and then it depends on the client's posting setting. It starts on Owner approval, where journals, opening balances, chart of accounts changes, capital transfers and reconciliation actions wait for the owner. The client can switch to Accountant-managed, or choose action by action which ones you post directly.

Which reports do I get for a client?

The financial statements, VAT and WHT reports and the monthly management report are in the basic set, depending on the client's plan. Sales, expense and stock reports need a tick from the client. The monthly management report is in the client's Report Library.

Can every person on my team see every client?

No. Each staff member sees only the clients assigned to them. The firm's owner and admins see all clients.

Can I change which of my staff work on a client?

Yes. Removing a person takes effect straight away. Adding a person needs the client's approval, because it gives a new person access to their books.

Can I add many clients at once?

Yes. Upload a CSV or XLSX file of up to 100 client owners, check the preview and send. Each row is an ordinary invitation that the owner approves.

Can I export a client's full data?

Only when the client ticks Export all business data for you. It is off by default, and only the client's owner or an admin can switch it on or off.

Can I switch between clients without signing out?

Yes. Your firm and every client that has approved you appear in the same workspace menu, under one login.

Does Simplebks file VAT or WHT returns for my clients?

No. Simplebks gives you the VAT and WHT reports to prepare returns. You file them yourself.

What if my client does not have a Simplebks account yet?

They create their business in Simplebks with the email you invited, then open the invitation email again to approve your request.
